Reports To:     Program Manager, Project Manager, IT Solutions Director

Job Description



The Project Administrator assists project managers and project team members by providing project coordination and administrative support.


The Project Administrator is responsible to coordinate project activities such as creating and maintaining project documentation and artifacts, maintaining issue and risk logs, creating project status reports, creating and editing project communications, reviewing and editing training materials needed for the project, managing the project meeting schedules, capturing meeting notes, follow up on project team member tasks, update the project plan under the guidance of the project manager, and keep the project manager informed of issues, decisions and changes. 




  1. Coordinate project activities as assigned by project manager
  2. Schedule, attend and take notes in working sessions and meetings
  3. Track attendance to meetings
  4. Monitor sessions and meetings to ensure effectiveness
  5. Follow up on issues and questions through completion
  6. Track and report progress of activities (testing, training, etc.)
  7. Track and update project budget, forecast and spend and document variances with explanations
  8. Update necessary tracking system(s) to ensure that project and/or program status is maintained with complete accuracy (tracking of issues, risks, decisions, testing, training, etc.).
  9. Creates and distributes correspondence relevant to the project
  10. Support development or review of training materials and change management materials
  11. Assist with administrative preparation for various meetings such as room setup, AV setup
  12. Develop and maintain accurate and complete files for projects and programs in project shared folders or Team sites; continue to monitor for integrity and completeness
  13. Provide ad hoc project related reports as requested
  14. Provide additional administrative support as required for other project team members such as project sponsors, business analsysts, business process analysts, and subject matter experts
  15. Schedule and coordinate testing activities on behalf of the project manager
  16. Assist with software training and testing when additional resources are needed





  • Bachelor’s or Associate’s degree in business, technology, finance, administration, management or equivalent work experience
  • Five years administrative assistant experience
  • Three years experience working on projects as a team member or project leader
  • One year experience working as a project coordinator, administrator or lead
  • Experience supporting the implementation of software solutions
  • Familiar with project management practices and terminology




  • Advanced computer skills using Microsoft Office (Excel, Word, PowerPoint, Teams)
  • Familiar with Microsoft Project (or similar software) or the ability to quickly learn project management software
  • Excellent organizational/administrative skills
  • Strong interpersonal skills
  • Ability to communicate effectively through all levels of the company
  • Ability to thrive in a dynamic problem-solving environment
  • Ability to multi-task in a fast-paced environment
  • Ability to prioritize tasks effectively to meet project needs
  • Accurate and concise note taking
  • Customer service orientation with a strong problem-solving approach
  • Open to minimal travel as requested (5-10%)
  • Use personal cell phone for company business




  • Sitting or standing at a computer 75% of the time
  • Professional presence and proper phone etiquette is required
  • Some driving is required up to 10% typically between company offices and stores




  • The Project Administrator is a full-time position.
